You/The Learner/Candidate: The individual attending the course.

Candidate Details

Please verify all information provided in your confirmation email. Certificates will be issued exactly as per the supplied details and sent to the address on record. Notify us immediately of any disabilities or learning difficulties so reasonable adjustments can be arranged. Candidates attending our centre must bring:

Valid photo ID (Passport or Driving Licence)

One passport-sized photograph
Contact us prior to your course if you cannot provide the above.

Pre-Entry Requirements (if applicable)

If there are pre-entry requirements for this course, you must bring the original copy of your signed certificates to us either in advance or on the first day of your course; we must verify these documents in person. If we do not have your original certificates by the first day of the course, you will not, under any circumstances, be able to complete your assessments or the course.

If you do not have your original certificates, please contact your previous training centre, college, or certification body to request a replacement. This must be provided as a hard copy, or emailed directly to us from the official certification body’s email address. This is a strict requirement from our certification body to prevent the use of fraudulent certificates, particularly in light of the rise in AI-generated documentation. Gas Engineers must also provide a copy of their current Gas Safe Card either by email or in person.

Dress Code & Equipment

We provide all required tools and equipment. If you prefer to bring your own, inform your trainer on day one. Sensible clothing is mandatory for assessments. Safety footwear is essential for all practical sessions.

Hampshire Training and Assessment Ltd is dedicated to maintaining an inclusive, diverse, and safe environment that actively promotes and respects British values. We operate a strict zero-tolerance policy towards any form of discrimination, racism, sexism, harassment, or abusive behaviour.

All candidates are expected to treat our staff, trainers, assessors, and fellow learners with dignity and mutual respect. If any candidate’s behaviour is deemed inappropriate, aggressive, or offensive, they will be asked to leave the premises immediately and will be removed from their course with immediate effect.

Health, Safety & Workshop Compliance

Your safety and the safety of those around you is our highest priority. All candidates must strictly adhere to the safety points highlighted during your initial induction. You are required to follow all trainer instructions explicitly, use all tools and equipment safely, and exercise extreme caution when working with live utilities such as gas and electricity. If you notice any damaged equipment, faults, or have any safety concerns, you must report them to a member of staff straight away.

Parking

Limited parking is available on-site, park as directed by our staff, in a considerate, bumper-to bumper arrangement. Do not park on Brockhampton Lane or surrounding areas, as this is a residential street and we ask that our neighbours are respected at all times. All vehicles are parked at your own risk, and Hampshire Training and Assessment Ltd accepts no responsibility for any loss or damage to vehicles or personal belongings while on our premises.

Payment Terms

Your booking is not secured until full payment is made, or a payment plan is in place and maintained. Our courses are limited to eight candidates and operate on a first-come, first-served basis.

Cancellations & Refunds

No refunds are issued upon cancellation.

If cancelled more than 14 days prior to the course: 50% of course fee retained as credit for rebooking.

If cancelled within 14 days: Full course fee is forfeited.

Failure to attend constitutes a cancellation with no entitlement to credit or refund.

Additional Fees

First exam re-sit: £45 +VAT per assessment (to be booked on the same day as exam failure).

Subsequent re-sits: £90 +VAT per assessment (to be booked no sooner than 7 days after exam failure).

Change of course date, candidate etc. more than 14 days prior to the course: 10% fee of the total course cost

Change of course date, candidate etc. within 14 days: Full course fee is forfeited.

Certification Process

Subject to full attendance and successful course completion, internal verification will be carried out within 10 working days. Following this, portfolios will be submitted to the relevant Certification Body for external verification, typically within 15 working days.
During either the internal or external verification process, if any part of your portfolio is found to be incomplete or incorrect, you may be required to provide additional evidence. This may involve a telephone discussion or reattendance at the Training Centre.
If you do not receive your certificate within 3 months of course completion, you must notify us. After this period, additional fees will apply for the re-issue of certification.

Terms and Conditions of Service

1. Definitions

We/Us/Our/The Company: Hampshire Training and Assessment Ltd.

You/Your/The Learner: The individual named on the course booking.

Course: The training, assessment, and certification programme detailed in your booking confirmation.

Course Fee: The total fee payable including VAT.

2. Agreement Scope and Duration
2.1 This agreement becomes legally binding upon our written (email) confirmation of your course booking.
2.2 The agreement remains valid for 2 years unless your course is completed or terminated earlier as per Clause 7.
2.3 This agreement supersedes all prior representations or marketing communications,
whether oral or written.
2.4 Communications will be in English.

3. Our Responsibilities
We will:

Deliver the course with qualified instruction and support.

Provide access to all scheduled assessments and examinations.

Issue written confirmation and directions to the training venue.

4. Your Responsibilities
You agree to:

Provide accurate information at the time of booking. We are not responsible for delays
(including certificates or bookings) caused by incorrect or incomplete details.

Pay the course fees as outlined in Clause 5.

Ensure your booking is confirmed before your course starts. Enquiries without confirmation or payment may result in your place being offered to someone else. Spaces are limited and allocated on a first come, first-served basis (maximum of 8 per course).

Complete your course within the scheduled dates or given timeframe. If you fail to do so without written permission from us, we will consider you to have withdrawn, and we are not obliged to provide further training.

Dress appropriately for training. We recommend wearing overalls and safety footwear (e.g. steel-toe boots). We are not liable for any injury resulting from inappropriate clothing.

Attend in a fit and sober condition. You must not be under the influence of drugs or alcohol and must follow the health and safety rules provided on your first day. Additional requirements will be communicated in advance if needed.

Follow the cancellation terms if you cannot attend. Once your booking is confirmed (via post, email, or SMS), you’re bound by our terms. It’s your responsibility to notify us of any changes to your contact details.

Confirm that the qualifications offered in the course are suitable. It is your responsibility to ensure that the qualifications offered as part of this course are appropriate for your personal career goals and suitable for the industry requirements in your intended location of work. We encourage all candidates to carefully research and consider whether the course content, level, and accreditation align with their professional needs and objectives before enrolling. If you are unsure, we recommend seeking advice from relevant industry bodies, employers, or professional advisors to make an informed decision.

Understand that passing exams is your personal responsibility. Success in any industry
recognised exams depends solely on your own performance.

Attend all scheduled days of your course from 8:30am to 4:00pm (or as advised by your trainer). If you arrive after 9:30am, you may be turned away, required to rebook at your own cost, and may not be allowed to attend the remainder of the course as this may hinder other candidates progress.

5. New Entrant courses

For all New Entrant candidates, the milestones within the course structure must be met in order to continue with the scheduled practical sessions and assessments. A maximum time period of 2 years from the date of enrolment is provided to complete the full course package and all associated qualifications. If this 2-year period is exceeded, additional fees will be applicable to resume or complete the course.

It is the sole responsibility of the learner to remain up to date with all required theory components, attend all scheduled training sessions, and complete the course within the allocated timeframe. This includes participation on dates set by Hampshire Training and Assessment Ltd, regardless of personal scheduling preferences. If a learner is unable to attend a scheduled date due to prior commitments, alternative dates may be offered at the discretion of Hampshire Training and Assessment Ltd; however, please note that this may result in an extension to the overall course completion timeline.

Failure to attend scheduled sessions or to make satisfactory progress within the expected timeframes may result in the loss of course access and/or the incurrence of additional fees for rescheduling or continued participation.

It is the sole responsibility of the Learner to remain up to date with all required theory components and attend all scheduled training sessions within the allocated timeframe.
Should a Learner cease to attend or become unresponsive to communications, we will issue a final notification. The Learner will have 5 calendar days from the date of this notification to re-establish contact and confirm their intention to complete the course. Failure to respond within this period will result in the Learner being deemed to have withdrawn from the course. In such an event, we reserve the right to terminate this agreement, as this constitutes a breach of the Learner’s obligations. Refunds or credits are not issued for non-attendance or incomplete courses.

If a candidate has no contact with our centre, fails to respond to our communications, or completes/submits no course work for a continuous period of 3 months, they will be issued a final 7 day notice via email. If no meaningful response or engagement is received within those 7 days, the candidate will be officially removed from the course, their access will be revoked, and all fees paid will be forfeited.

6. Scheme and Regulatory Information Disclaimer
Any guidance or information provided by Hampshire Training and Assessment Ltd regarding registration with third-party schemes or certification bodies, including but not limited to Gas Safe Register, Competent Person Schemes (CPS), or any other relevant regulatory bodies, is accurate at the time of booking and provided to the best of our knowledge. We accept no responsibility or liability for changes in regulations, scheme requirements, or industry standards that may occur after your booking date. It remains your responsibility to ensure ongoing compliance with the latest requirements of such schemes.

7. Punctuality Requirement
You are required to arrive between 8:00am and 8:30am, ready to begin learning promptly at 8:30am. If you are unable to arrive by 8:30am, you must either:

Have a prior agreement in place, or

Notify us by phone as soon as possible on the day, explaining the unforeseen
circumstances beyond your control causing the delay.


Failure to comply may result in the forfeiture of your course day and incur additional costs to reschedule.

8. Payment Terms

Full payment is required for bookings under £2,000 +VAT unless otherwise agreed in writing.

For bookings of £2,000 + VAT or more: a 50% non-refundable deposit is due at the time of booking, with the remaining balance payable within 30 days.

An alternative payment plan may be discussed. If agreed, confirmation of the plan will be provided in writing.

We accept payment by cash, card, or bank transfer.

Course dates are not confirmed until full payment has been received, or a payment plan has been agreed in writing.

If a payment plan is in place and payments fall into arrears, we reserve the right to postpone training sessions, assessment sessions and/or online portals to complete your course until the outstanding balance is brought up to date. This postponement does not pause or extend the course registration period (2 years for New Entrant courses, 1 year for other courses).

Failure to pay in accordance with agreed terms may result in legal action to recover the outstanding balance.

Candidates receiving funding will remain liable for the full course cost if the course is not completed, is cancelled, or if assessments are not successfully passed.

Should a Learner with an outstanding course fee become unresponsive to contact attempts, we reserve the right to terminate the agreement. A final notification will be issued, requiring the outstanding balance to be settled within 7 calendar days. Failure to remit the outstanding balance within this period will result in the immediate termination of the Learner’s course access. It is understood that any partial payments made are non-refundable and will be forfeited. These funds cannot be transferred or used as credit toward a future course booking.

For courses booked under a sale or promotional offer, the discounted balance must be paid in full at the time of booking. If full payment is not received within the specified offer period, the discount will be voided, and the standard full price of the course will apply.

Only one promotional offer, discount, or concessionary rate may be applied to a single Course booking at any given time. The combining or stacking of multiple discounts or offers is strictly prohibited.

The application of any discount or promotional price remains at the sole discretion of Management. The Company reserves the right to refuse, restrict, or withdraw promotional pricing on any Course at any time without prior notice.

9. Additional Training & Re-Sits

Rescheduled sessions or additional sessions: £275 +VAT per day or £165 +VAT per half day (pro-rata for shorter sessions).

Following two unsuccessful attempts, a fee of £90 +VAT applies per assessment. Please note that students who fail an assessment twice may be required to complete a mandatory training session before becoming eligible to book further resits, this will be charged as per our additional session cost.

10. Funding Scheme Liability Clause

Liability for Funded Places: In the event that a course is booked under a funding scheme (including but not limited to government grants, corporate sponsorships, or third-party subsidies), the following terms apply upon receipt of the Booking Confirmation:

Attendance & Completion: You are required to attend and complete all components of the course as specified.

Liability for Fees: If you fail to attend (non-arrival) or fail to complete the course for any reason, you, the individual or the registering organisation, will be held personally liable for the full, non-subsidised cost of the course.

Deposit Deductions: If a deposit was paid at the time of booking, this amount will be deducted from the total course cost, and you will be invoiced for the remaining balance.

Payment Terms: Invoices issued under this clause are due for immediate payment to cover the loss of funding eligibility caused by non-completion.

11. Termination by Us
We reserve the right to terminate this agreement if:

Payments are not made as agreed.

You breach your obligations.

Your conduct is deemed rude, disruptive, or damaging to our reputation.

You breach the confidentiality and recording restrictions set out in Clause 18.

12. Liability
Except in cases of personal injury or death due to our negligence, we are not liable for indirector consequential losses.

13. General Provisions

We may alter course content or schedules as needed.

You are responsible for ensuring course suitability and securing your own accommodation and travel.

We may retain copies of your course work for certification, quality assurance, and marketing. Any coursework or portfolio evidence produced by you remains subject to the confidentiality restrictions set out in Clause 18.

Complaints must be submitted in writing within 7 days of the incident.

Required course materials, including any normative documents or training manuals, will be made available for use during in-centre training sessions. For certain courses, these materials may be provided for you to keep; however, this is not guaranteed for all courses. Where materials are not provided for personal retention, it is the learner’s responsibility to source the necessary documents independently. Alternatively, copies may be purchased directly from Hampshire Training and Assessment Ltd while enrolled on your course, subject to availability and applicable fees.

14. Assignment
We may transfer our rights or obligations under this agreement to a third party without notice.

15. Cancellations

You may cancel your booking under the Consumer Protection (Distance Selling) Regulations 2000 within two working days of the booking date for a full refund, processed within 7 working days of acknowledgement and confirmation of a refund being issued.

All cancellations must be in writing.

Cancellations 14+ days prior to course: 50% credit held.

Cancellations within 14 days of the course: Full balance owed.

Rescheduling within 14 days of the course is deemed a cancellation; rebooking is subject to full payment.

We may reschedule your course if required, with reasonable notice.

If you request to reschedule a course date (subject to the notice periods and fees outlined below), you have a maximum of 3 months from the original course date to select and secure a new date. Failure to book a new date within this 3 month window will result in the automatic cancellation of your booking and the forfeiture of all fees paid or credits held. To attend a course after this period, you will be required to submit a completely new booking and pay the full course fee.

16. Refunds

We do not offer monetary refunds. Account credits may be issued if agreed by Management.

Refunds or credits are not issued for non-attendance or incomplete courses.

All communications must be sent in writing.

Governing law: This agreement is governed by English law and subject to English courts’ jurisdiction.

17. Course Rescheduling by Us

Hampshire Training and Assessment Ltd reserves the right to alter, postpone, or reschedule course dates due to unforeseen circumstances beyond our control. These circumstances include, but are not limited to:

Staff illness or emergency absence.

Changes in industry regulations or certification body requirements.

Equipment failure or facility issues.

In the event of such a change, we will provide you with as much notice as is reasonably practicable.

We guarantee to offer alternative course dates within 3 months of the original booking date.

While we will make every effort to accommodate your schedule when rebooking, Hampshire Training and Assessment Ltd is not liable for any collateral costs incurred by the Learner as a result of the rescheduling, including but not limited to travel arrangements, accommodation, or loss of earnings.

Certification & Administration: We may share your necessary personal details with our external certification bodies and relevant authorised persons for the purposes of registration, assessment, and the issuance of your qualification.

Course Updates: We will use your provided contact details to send essential updates regarding your current course, including schedules, materials, and results.

Future Information: We may occasionally contact you with information regarding future courses, professional development opportunities, or relevant industry news.

Note: You may withdraw your consent for non-essential marketing communications at any time by contacting us directly or using the ‘unsubscribe’ link in our emails.

19. Intellectual Property & Confidentiality

General Prohibition of Recording: The use of any recording devices, including but not limited to mobile phones, cameras, smart watches, smart glasses or audio recorders, is strictly prohibited within classrooms, practical training areas, assessment bays, or examination rooms unless authorised by your trainer and/or assessor for portfolio jobs.

Portfolio Exceptions: Candidates may be permitted to take photographs of their own practical work solely for the purpose of completing their portfolio evidence. This is subject to the following conditions:

Prior Approval: You must obtain explicit permission from your trainer/assessor before taking any photographs.

Limited Use: Such images must be used only for the intended purpose of the portfolio write-up associated with your course.

Privacy: No other candidates, staff members, or proprietary assessment documentation may be visible in the background of portfolio photographs.

Confidential Correspondence: All direct communication between The Company and The Learner, including but not limited to emails, private messages, and telephone conversations, is considered confidential. You are strictly prohibited from recording telephone calls or sharing screenshots/copies of email correspondence publicly or on social media platforms without our prior written consent.

Restricted Content: Under no circumstances may you record or photograph:

Theory exam papers, written assessments, or marking schemes.

Live assessment scenarios or specific testing “faults” set by the trainer.

Instructional videos or presentations delivered by the company.

Online Sharing & Social Media: The sharing, uploading, or distribution of any recordings, correspondence, or photographs taken within the centre, associated locations or direct communication, including portfolio images, on social media, public forums, or any online platform is strictly forbidden. These materials remain the intellectual property of Hampshire Training and Assessment Ltd.

Penalties for Breach: Any breach of this clause is considered a material breach of contract. If you are found to be in violation, Hampshire Training and Assessment Ltd reserves the right to:

Immediately terminate your course and agreement without notice or refund.

Invalidate any assessments or examinations already taken.

Pursue formal legal action for damages to protect the integrity of our assessment process and intellectual property.

20. Entire Agreement

These Terms and Conditions constitute the entire agreement between the parties and supersede all previous agreements, promises, assurances, warranties, representations, and understandings between them, whether written or oral, relating to its subject matter. These Terms and Conditions are subject to change.
